Privacy Policy

Effective: May 31, 2026  ·  Last reviewed: May 31, 2026

BookFlow ("we," "us," or "our") builds AI-powered lead capture tools for home service businesses. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services.

1. Information We Collect

We collect information you provide directly, including:

  • Lead form submissions: name, phone number, company name, service type, and ZIP code when you submit a contact or quote request through our site.
  • Account and billing information: when you sign up for a paid plan, we collect your name, email address, and payment information processed by Stripe.
  • Usage data: pages visited, interaction events, and general analytics to improve our product.

2. How We Use Your Information

We use collected information to:

  • Deliver and improve our services
  • Respond to your inquiries and support requests
  • Process billing and manage your subscription
  • Send transactional and product update emails (you can opt out of marketing at any time)
  • Detect and prevent fraud or abuse

3. Information Sharing

We do not sell your personal information. We share data only with:

  • Stripe — for payment processing (they have their own privacy policy)
  • Service providers — hosting, analytics, and email delivery tools under strict confidentiality agreements
  • Legal requirements — when required by law, court order, or to protect our rights

4. Data Retention

Lead data is retained for as long as your account is active. You may request deletion at any time (see Section 6). Billing records are retained for a minimum of 7 years per financial record-keeping requirements.

5. Data Security

We use industry-standard encryption (TLS) in transit and apply access controls to stored data. No method of transmission over the internet is 100% secure — we cannot guarantee absolute security, but we take reasonable measures to protect your data.

6. Your Rights (GDPR, CCPA, CASL)

Depending on your jurisdiction, you may have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectify — correct inaccurate data
  • Erase — request deletion of your personal data
  • Data portability — receive your data in a machine-readable format
  • Object — opt out of certain processing, including direct marketing

To exercise any of these rights, email us at privacy@bookflow.polsia.app. We respond to all verifiable requests within 30 days.

California residents: you have the right to know what data we collect, delete it, and opt out of the sale of personal information. We do not sell personal information.

Canadian residents (CASL): we only send commercial electronic messages with your consent. You can withdraw consent at any time via the unsubscribe link in any email.

7. Cookies

We use minimal cookies — primarily for analytics (anonymous usage tracking) and essential site functionality. You can disable cookies in your browser; some site features may not work without them.

8. Children's Privacy

Our services are not directed to individuals under 16. We do not knowingly collect data from minors.

9. International Data Transfers

If you are located outside the United States, note that your data is processed on US-based servers. We ensure appropriate safeguards are in place for cross-border transfers.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a prominent notice on our website. The "Effective" date at the top reflects the most recent update.
